How We Approach Every Engagement

Each Anuvia service follows the same underlying principle: map the territory before attempting to change it. For household engagements, this means understanding what exists before recommending any action. For the community programme, it means grounding each session in the actual documents and offices people will encounter, not a generalised description.

We prepare written deliverables at every stage and keep the scope of our work clearly bounded. We do not drift into advice on financial or legal decisions. Our role is administrative and organisational, and we are precise about that distinction in every client conversation.

Stop 01

Records Health Check

A structured, on-site review of a household's existing paperwork against a standard document category checklist. The engagement runs approximately two hours at the client's premises, followed by report preparation at our office. The review covers every major document category a retiring household is likely to hold or need, and assesses each item for presence, condition, and storage.

What the Review Covers

  • Identification documents: MyKad, birth certificates, marriage certificates
  • EPF statements and annual contribution histories
  • SOCSO correspondence and benefit records
  • Property documents: grants, titles, tenancy or ownership papers
  • Insurance policies: life, medical, and any private pension arrangements
  • Bank account and financial institution correspondence
  • Wills, power of attorney, and related legal instructions if held

Process Steps

Document application and office coordination

What Is Included

  • Identification of the correct issuing office for each document
  • Preparation of application forms from client-supplied information
  • Appointment scheduling and queue attendance where a representative is permitted
  • Tracking of each application from submission to arrival
  • Written progress updates at each application milestone
  • Office fees passed through at cost with receipts attached
Stop 02

Reissuing & Attested Copies Coordination

Support for obtaining replacement copies of documents that have been lost or damaged. This service covers the full administrative pathway from identifying the correct issuing office to tracking the request through to arrival. We prepare application forms, attend where a representative is accepted, and follow each request actively rather than waiting for the client to chase updates.

Typical duration is four to eight weeks from the date of first submission, depending on office response times. Documents that require one to act as a prerequisite for another are flagged in the suggested collection order from the Health Check, so applications can be sequenced correctly.

Fees charged by government offices or registries are entirely separate from our service fee and are passed through to you at the exact cost charged, with official receipts. We provide an estimate of likely office costs before beginning.

Stop 03

Community Education Series for Employers and Associations

A programme of four workshops delivered on site for employers, residents' associations, and community groups. Sessions cover the general retirement paperwork process, common document types encountered at retirement, record-keeping habits that reduce administrative effort later, and practical guidance on how to assist an older relative with file organisation. Each session runs 90 minutes for groups of up to forty participants.

Materials are provided in both English and Bahasa Malaysia. A follow-up question session is included after the final workshop, and each participant receives a set of blank checklist templates they can use with their own household files.

    An overview of the document types a household typically needs at retirement, which offices issue them, and how the pieces relate to each other.

    Common Documents in Detail

    A closer look at EPF, SOCSO, identification and family registration documents, property records, and insurance policies — what each one looks like and what it is for.

  3. 03
    Record-Keeping Habits

    Simple, practical approaches to storing and updating household records over time so that documents can be located quickly when needed.

  4. 04
    Supporting an Older Relative

    Practical guidance for working family members or carers assisting a parent or older relative with their retirement records. Includes a checklist approach and a suggested starting point for that conversation.

Document Security

Client documents brought to any engagement are handled carefully and returned at the close of each session. We do not retain original documents.

Scope Confirmation in Writing

At the start of each engagement, we confirm the scope of the work in writing. This sets out what we will and will not do within the service.

Referral to Qualified Advisers

Where a client's records raise matters requiring financial or legal input, we note these clearly in our reports and encourage the client to seek appropriate professional advice.

Personal Data Protocols

Information shared with us in the course of an engagement is handled in accordance with our privacy policy and used only for the purposes of delivering the agreed service.

Receipt-Backed Cost Pass-Through

Any cost incurred at a third-party office on a client's behalf is supported by an official receipt and passed through at exact cost. We do not mark up third-party charges.

Realistic Timeline Estimates

We provide estimates based on current experience with issuing office response times. When timelines shift, we inform the client promptly and without waiting to be asked.
